Historic Materials Display Team - Volunteer Checklist & Agreement

Privacy & Confidentiality

• I understand that personal information about students, former students and prospective students must be handled carefully and only used for approved school purposes.

• I will not copy, photograph, publish, share or distribute historic materials except as authorised by the school.

• I will maintain confidentiality and immediately report any privacy concerns to the school contact person.

Approved Display Conditions

• I will only display materials approved by the school.

• I understand that displaying materials on school premises carries less risk than publishing them online.

• I will not post or share historic photographs, documents or personal information on social media unless specifically authorised by the Principal.

Respect for Individuals

• I will respect the privacy, dignity and safety of all individuals depicted in historic materials.

• I understand that some individuals may be protected by legal, family law, child protection or other privacy-related restrictions.

Cultural & Human Rights Considerations

• I will respect cultural protocols, including sensitivities regarding the names, images or voices of deceased Indigenous persons.

• I understand that privacy and reputation are protected human rights that must be considered when displaying historic materials.

Copyright & Intellectual Property

• I will only use materials approved by the school and for which copyright requirements have been considered.

• I will not reproduce, copy or distribute materials beyond the approved exhibition without permission.

• I will ensure creators are appropriately acknowledged where required.

Reporting Concerns

• I will immediately report any concerns regarding privacy, copyright, cultural sensitivities, inappropriate content, security, loss or damage of materials.

• I will cease displaying any material that becomes the subject of a concern until guidance is received from the school.

• I will keep details of any concern confidential and discuss them only with authorised school personnel.

Emergency Procedure

• In an emergency threatening safety, call 000 immediately.

• Notify the Volunteer Coordinator as soon as practicable.

• Follow all school emergency procedures and directions from staff.

Volunteer Declaration

I have read and understood the requirements for volunteers involved in the display of historic school materials. I agree to comply with these requirements and to follow all directions provided by the school regarding the handling, display, storage and removal of materials.
